Tips for better University mail service

Approximately two months ago, University Mailing Services became a part of the Department of Parking and Transportation. Since then Parking and Transportation Director Bob Harkins has been reviewing the services' operations.

Along with internal changes, Harkins's review has produced a list of suggestions for members of the University community to follow for improved mail service.

"We believe we can serve you better with your help," Harkins noted. "Please keep in mind the following when working with campus and U.S. mail."

* Separate mail into bundles of campus mail, domestic mail to be metered, domestic mail that does not need to be metered, international mail to be metered, and mail that requires special handling, such as certified, registered or express mail.

* Customers should attach their account number to the top of each metered bundle on either a sheet of paper, mail form or requisition form.

Departments with more than one account number should bundle mail by account number. A mailing requisition form should accompany all bulk mailings or mail that requires services such as addressing, storing or stuffing.

Assistance with folding, labeling and stuffing mail is available by contacting Gus Tytke, 624-3091.

Special pick-up for large amounts of mail can be arranged by contacting Phil Hopbell in Central Receiving, 624-3147.

* Uniform addressing helps in the sorting and delivery of mail. University Mailing Services suggests the following form: Mr. John Doe, Chemical Engineering, Room 1234, Benedum Hall, Pittsburgh, PA 15260.

* Finally, place all mail in appropriate containers or a designated pick-up area.

"We are reviewing all pick-up areas to ensure that they are well marked and secure," Harkins said.
